Many institutions with stellar operations performance utilize a balanced score card as a performance management tool. Collecting operational and financial benchmarks to round out your balanced scorecard can often be challenging. With the 2016 Facilities Budget, Staffing, and Operations Study and the Dude Data Dashboard, these pieces of the puzzle can now be easily filled in. The study covers:
At a macro level, using a balanced scorecard approach allows our Data Dudes to do new and exciting analysis. By combining budget and staffing data with operational Key Performance Indicators or KPIs (such as Work Order Completion Times and PM Resource Allocation), we can start to quantify the impact staffing has on service, efficiency, and productivity.
While conventional wisdom says more staff and budget equates to better service, the correlation is not always as direct as one might think. In other words, schools with more staff and budget don’t always have the best service levels. Using the 2016 Budget and Staffing Survey and SchoolDude’s Operational KPIs, we found the number of institutions with low staffing and high service/efficiency, defined as completing more than the national average of 67% of work orders in less than one week, was nearly identical to the number of institutions with low staffing and low service/efficiency. Similar findings were seen when comparing budget levels to PM resource allocation.
What does this tell us?
Perhaps higher staffing and budget ALONE do not equate to better service – strong leadership, employees, and systems in place are also a key component to a successful facilities process and team. In fact, when we talk with Campus Champions, or top performing institutions, about the keys to their success, these traits bubble to the surface of our conversations again and again. Every school in the country faces the challenge of infinite possibilities with finite resources. And nearly every school has budget challenges and is asked to do more with less. So how are the best facilities leaders coping with these challenges? By empowering employees, enhancing communication, improving transparency, and transforming data into knowledge.

Our goal with this study is to become the gold standard for Maintenance & Operations benchmarks and operational excellence in education. By collecting financial and demographic data from districts, schools, and colleges with operational key performance indicators (KPIs), SchoolDude can provide insights into current budget and staffing levels and help you better predict and justify future resources and staffing needs.
