When allowing community groups to use your organization’s facilities for events and activities, it’s essential that you require those third-party groups to have a proper insurance policy. Opening your facilities to outside groups makes you susceptible to damage and risks, therefore, protecting your school from liability issues by requiring that requesters are adequately insured is critical.
You may host a variety of events ranging from low risk events such as classroom seminars, receptions or weddings to high risk events including festivals, fairs, athletic events, or concerts. No matter how big or small the event, insurance is a must. Without proper insurance information and policies, your institution could be held liable for personal injury and property damage. In addition to physical damage, you could even be held liable if an outside organization used your facilities in a way that has been deemed inappropriate. With proper risk management procedures in place you would be protected.
For outside groups, purchasing one-time event insurance can be confusing and frustrating. In an effort to simplify this process, SchoolDude has partnered with Arthur J. Gallagher & Co. (AJG) to streamline the process of purchasing event insurance. We are pleased to announce an enhancement to CommunityUse that makes it easier for you and your community requesters to manage the liability insurance requirements for facility use. This enhancement gives community requesters the option to purchase a Tenants’ and Users’ Liability Insurance Policy (TULIP) online at an affordable rate through AJG, while requesting facility space via CommunityUse. The district then has the ability to track and manage all insurance coverage for facility events via their FSDirect program.
This enhancement allows you to provide a quick and affordable option for community requesters who would like to utilize your facilities, but do not currently have a liability insurance policy that meets your organization’s facility use policy requirements. Simplifying the process for outside groups to purchase insurance helps your organization reduce potential liability issues, while also making your facilities readily available to outside groups.
TULIP is a Tenants’ and Users’ Liability Insurance Policy that provides special event liability coverage. It is used by institutions that permit “third parties” to use their facilities for specific events. It is designed for third party users who do not carry liability insurance and is offered at a low cost. It is event-specific and can also cover vendors, performers and exhibitors, if needed. It protects both the institution user (the third party) and the institution against claims by third parties who may be injured or experience damage to property as a result of participating in an event.
This feature can be enabled by your CommunityUse administrator. When enabled, this feature provides a link in CommunityUse to an Arthur J. Gallagher & Co. portal, where outside event coordinators can purchase short-term Tenant User Liability Insurance Policies with adequate coverage for events which they need insurance.
