An enhancement for MaintenanceEssentials users is being released that adds a 'checklist' functionality to the Tasks and Procedures section of a work order generated from a preventive maintenance schedule. This feature will allow users to indicate that they have completed a task, as well as add comments to each individual task. The enhancement also serves as a pre-cursor to a future enhancement of PM checkoff capabilities on the WorkCenter app.
In the PMDirect Schedule wizard, step 11 represents your optional Tasks and Procedures. These are your individual step-by-step items that need to be performed. You can describe the task, and if applicable, enter an attachment or any additional specific details or procedures for each task. Tasks and procedures will show on the online and printed work orders if you wish.
In addition to showing on the PM section of a MaintenanceDirect work order, the checklist feature will show on a Work Order Detail report, as well as on the printed work order form. Whatever selections and comments are made on the long form work order in MaintenanceDirect will reflect, once saved, on the printed form and report.
The long form of the work order is where you will use the checklist - here you can select "Yes" or "No" under Complete? to communicate whether a particular task has been accomplished. A handy "set all" button saves time so you need to only change items that do not fit an "all yes" or "all no" scenario vs. clicking yes or no to each question.
Any comments about that task can be typed here. Any saved changes to this section will reflect on the work order, as well as on the printed form as well as on a work order detail report.
Adding a functional checklist to your PM tasks and procedures allows for greater accountability. Rather than a user simply indicating that 'the job got done,' they can confirm that they followed each of the required steps. This also allows for more effective communication if the work needs to be revisited on another day, or by another user, especially when not all items may have been completed.
Need an audit trail? There are scenarios in which documentation is needed to show what aspects of an inspection were completed, or if a manufacturer's recommendations were followed. A task checkoff report will prove you are performing what is required, steps were completed, what roadblocks were discovered, what plans are in place, and communication histories are all available on the work order form.
