So Many Assets, So Little Time
Getting back into the school year can be tough for everyone. The word “new” comes to mind and can be applied to many different areas. New students, staff, technology and assets and how they relate to BYOD policies… new everything it seems. This creates a whole new set of challenges to keep all of these things together. One thing you can do to help overcome the challenges for a new year is to make sure your asset inventory is integrated with your IT Ticketing system.
Lately, BYOD (Bring Your Own Device) has been a hot topic for our clients. We recognize that this is a direction that the IT community is heading in. Given that, we are actively engaging our clients to find out what has and has not been working. We plan to use this information help guide where our IT suite might be going in the future. BYOD is important because it is a cost effective strategy, but poses its own challenges with regards to network security and mobile device management. If you use ITDirect you can capture important asset details like Classification, Type, Manufacturer, Make, Model, Tag Number, OS, Location, Area, Area Number:
PC, Laptop, Dell, Latitude, E6510, 123456789, Windows 8, John Smith High School, Classroom, 101
You can import and update asset details using the ITDirect Asset Import feature. Check out the Quick Step Guide for this located in the Help Documents Library, which is part of the Community and can be found there under the Support tab.
Taking it a Step Further
If you own ITAMDirect you can gather even more detailed information for all of your important Asset Inventory information such as hardware characteristics or software installed and types of files stored on your asset. Regularly scheduled audits can detect changes made to each asset and alerts can be created for unauthorized software, hard drive space used, and more.
Also for reporting purposes, the Plans feature in ITAMDirect can help project costs for upgrades and replacements based on software and hardware thresholds. Since assets can fall into one of the two categories because of the threshold parameters, it can give you the data needed at the end of the year to help make informed decisions as to how to proceed for the coming year and where to place priorities. In addition to helping with upcoming budgetary decisions, the Plans tool can also assist in maintaining an accurate view of your asset lifecycle. This can be leveraged when the purchase date for an asset or group of assets is unknown.
By getting your assets in the system and tying them to incidents or help tickets, you’ll have the ability to report on all of the work that has been done to them throughout the year. At the end of the year when you have to figure out what needs to be replaced and what new assets are needed, reporting to your decision makers will be that much easier.
