Whether you're new to SchoolDude, or have had one of SchoolDude's applications for an extended time, there are common topics you should communicate to your staff. These topics are not always technical, but are sometimes about setting a mindset.
When you add a SchoolDude application, any of your users have access to calling, emailing or chatting with the SchoolDude Client Service Center and that is covered for the lifetime of the product subscription. We pick up the phone by the 3rd ring, answer most emails in 30 minutes and chat is on your time. It doesn't matter about what the question is. Most questions are addressed in under 7 minutes from the time you pick up to the time you hang up.
WHAT HAPPENS WHEN SOMEONE QUITS OR RETIRES?
Someone often inherits a job and all the responsibilities. SchoolDude is one of twenty new things to learn so the new person can carry on (better yet, improve upon) the legacy left by the previous employee. Take the pressure off the new person (and yourself) by scheduling a session with SchoolDude (online training sessions are included for new staff also). Your training sessions should not be simply on "how" to use an application, but also on "why" as this person will need a balance of both.
MORE THAN ONE WAY TO DO SOMETHING
You know the phrase about the cat. Did you know there's 7 ways to mark a MaintenanceDirect work order or an ITDirect incident complete? What about the 4 ways to enter labor or purchases? The way you may have done things was right at the time, but are there improvements that could be made to take you to the next level? Want to know how to do something a new way or how to track a new topic? Contact Support and we'll be glad to help!
Software applications are meant for you to rule your work, not for your work to rule you. Reports and graphs are for proving your hunches. Use the data fields to schedule items, coordinate when and where you need to be, and add new categories for searching and reporting. If you're not sure what the data field is for, why it is there, and how others have used it, contact Support and we'll help address it.
WHAT STORY ARE YOU TRYING TO TELL?
That one question has opened many eyes when I speak with staff, especially when I mention that your department does so much that so few know about. Do you think people on campus know how much you spend in utilities? How much time (especially overtime) and budget allocation is impacted by facility use or after-hour events? Opinions and perceptions may matter to some, but numbers don't lie. People outside of your department do not know what you do, so you need to educate them.
SchoolDude Advanced Searches and some reports have the ability to allow you to pick your criteria, give it a name and save the search. Take it a step further by scheduling automatic sends of those reports via email to any parties that are interested in the results. Got Monday planning meetings? Send a report of open jobs every week. Need to get last month's labor and purchases to accounting on a regular basis? Automatically send a spreadsheet on a monthly basis. This saves a ton of time throughout the year to get the right info to the right hands without tying up your day.
