On behalf of the entire SchoolDude team, we want to thank all of our SchoolDude University West participants for a wonderful event! As promised we've listed our PM Round table discussions for you to reflect on and continue the conversation on our SchoolDude.com site.
We discussed that 80%+ of clients who purchase MaintenanceDirect also purchase PMDirect. This tells us most organizations are aware preventive maintenance has benefits and they want to be protect the major assets of their organizations from running to failure. When we investigated how many had actually started using PMDirect we uncovered the first hurdle to implementation:
How to change mindset or buy-in of your organization to want to perform PM work?
Here were the discussion points the group listed:
1. PM work doesn't mean more work, its just a different type of work. The studies we showed from our PM mastery clients show the corrective hours actually decrease over time as your PM plan gets implemented. Would you rather show up to work wondering what is going to break next, or have your day planned out specific steps and parts all lined up? Ask yourselves what is possible versus being stuck with this is how we've always done it.
2. Use compliance as a driver for change. No one can argue that safety is optional or compliance items need to be inspected. Once they staff sees PM work is simply handled like any other work order, buy-in is easier to obtain.
3. Use PMDirect to help you track items still under warranty. Again most folks will buy-in on saving organizations money that warranties should have covered.
4. Invite staff in to give guidance in timing and steps
Next we discussed what to populate PMDirect with first?
The group answered with these items:
1. Slow start, a few things only (compliance, safety)
2. Break it up with yearly schedules first, then gradually add quarterly, monthly or weekly tasks
3. Align Schedules that make sense with seasonal demand or fluctuating demand
4. Look at trends in overall work order load in MaintenanceDirect and if corrective work order drops in certain months, substitute some PM schedules in those months
Next we collaborated on what level of detail should be in the procedures (step 10)?
1. Make sure steps align with staff capability
2. If the work is simple, keep that tasking simple
3. If the work is dangerous make sure the steps are appropriate for staff safety
Finally we covered how to share benefits of PM work with organization
1. Calculate the fines in the past dealing with compliance challenges then show decrease in those compliance fines after PMDirect implementation
2. Compare money spent on run to failure method versus money spent performing PM procedures
3. Compare days aged of completed work orders in one period to another to show the days aged is decreasing which helps prove the system is working and corrective work is taking less time than before. You can also use the inverse to show an increasing days aged is a catalyst to start funding PM activities.
