We had issues for years because our small community had "ownership" of the schools. It seemed like everyone had a key to the buildings for whatever reason. The principals gave them out like candy on Halloween and no one kept track of who had what.
So... In order to assure better safety of the students during the day and control over the building usage at night, we changed all the locks, to PEAKS keys. reduced the number of key access points and only gave keys to Maintenance personnel & key administration. The keys cannot be duplicated and Only the Director of Buildings and Grounds has power to get keys made. That solved one problem.
Next up was requiring all STAFF and Students to wear ID Badges while in the buildings. Students only at the High School. The ID Badges are coded and have an access chip to open only certain doors on the outside of the building. Problem two solved.
This created anger amongst staff because they felt BIG brother was watching them (Not my words). However, the Badges only track entrance into the building. This was done because we had staff in the buildings before maintenance personnel checked the buildings, they were there after maintenance left at night and on weekends at all hours. Often doors were not shut properly, the alarm was not reset, windows left open, etc...
So... How do we solve problem three??
Well, we decided to required all staff to request entrance into the buildings on off hours. They had to put in a request through FS DIRECT and the COMPTROLLER has to approve the access and then enter them in for access at agreed upon times. This has helped tremendously. We still have staff showing up and knocking on windows of others who are approved to be there. We still have athletic staff pegging doors open and not paying attention, but we have improved our safety overall. Problem # 3 solved.
Here is the email sent out and what is on the www.MySchoolbuilding.com page for Litchfield:
Please note that only one person from your community group or organization will be approved to enter these requests. Please be sure to read the registration instructions very carefully. Follow all registration instructions closely and be sure to read the Community Requester guide instructions regarding how to request use of the District's facilities.
If you encounter a problem, please feel free to contact Matt Bennett, District Buildings & Grounds Coordinator, at 603-703-6136 or email@example.com
I wonder if anyone else has had similar issues and what they did to solve them. I do recommend using an ID Bases access system (SSI) and requiring staff to request (I say request because it is not assured) through FS DIRECT much like our Community does.
