Question - how do your techs know when something is under warranty and therefore the vendor should fix it?
For instance - Roofs - a roof warranty can run 10 years or more. If the district patches the roof, the warranty is voided. We might replace the roof over wing A this year, but wing B was replaced 6 years ago.
How do you alert the technician about the warranty when the work order comes in and before he/she tries to repair it?
It gets more complex when you are dealing with HVAC systems. Many of our schools have individual heat pumps per room or per wing. We replace the whole system every 20 years or so. But we may replace 1 unit due to failure. I can put that warranty on the piece of equipment. But not for roofs, flooring, etc.
