Needed a better tracking process for inventory and consumables
On-site services helped to implement and improve inventory process
With 97 facilities at Mobile County Public Schools, the district maintains a lot of inventory. However, without an organized inventory management system, it proved difficult for the facilities team to have an efficient consumables tracking process.
“We have 2 inventory warehouses. One is running efficiently and consumables have been entered into our inventory management software solution, but the other warehouse, which is over 5000 square feet, had never been organized. This made it challenging to implement a manageable process for both warehouses,” said Gail Bell, Data Support Specialist at Mobile County Public Schools.

Experts also provided process training and best practices on how to keep stock, scan consumables properly and tie inventory supplies to work orders for tracking. “The process was well organized and Dude Solutions' team provided amazing support,” Gail added.
Now, Mobile County can fully utilize both warehouses efficiently and track all items they use. The department has improved the ordering process by being able to easily identify item status and location. Future planning will be easier now that the district can better see what consumables they over-order versus items in low supply. “Through better tracking, we realized we have a lot of surplus items and can decide if we’d rather auction off or donate our surplus supplies,” said Gail.
Looking ahead, the district plans to combine its two warehouses into one central location to maintain, which they believe will result in both mileage savings and additional cost efficiencies. With everything now in InventoryDirect, Gail’s department can use the reports and Key Performance Indicators available to her to better evaluate inventory usage and compare the results to districts nationwide. “We’ll be running reports on a monthly or quarterly basis to gain increased visibility into what consumables we have, better track inventory usage, and improve ordering,” Gail said.
